4. Purpose of Processing Personal Data
- Registration of customer data, registration of changes in customer addresses and other customer data (e.g., changes in contact persons)
- Management and development of customer relationships and communication
- Billing, processing of payments, and collection
- Recording and implementing direct marketing prohibitions as referred to in Section 30 of the Personal Data Act
- Opinion and market research and surveys
- Business development and related customer service development
- Marketing of goods, services, and events of the Honkarakenne Group and its current partners
5. Content of the Register
Registered individuals are customers of Honkarakenne Oyj. Customers can be private individuals or companies or individuals acting as representatives of companies.
The following information is collected and stored about customers:
- Customer number
- Start date of the customer relationship and contact method
- Name of the person, spouse or company name, business ID, and name of the company representative
- Contact information (street address, postal address, email address, and phone numbers, as well as contact information for the construction site)
- Information related to the management of the customer relationship: preferred service language and preferred contact method
- Billing and payment method information
- Information provided by the customer about the project: planned construction year, land ownership (yes/no), location of the land, characteristics of the land, type of building, planned size of the building, construction budget, or other information provided by the customer that affects the completion of the project
- Customer’s stated interests: single-family house, cottage, or sauna designed based on the collection, individually designed single-family house or holiday home
- Customer feedback and complaint information
- Possible cancellation and return information
- More detailed information is collected only when the product or service being sold requires more detailed identification or with the customer’s consent for other possible information.
6. Data Retention Period
Data is retained for the duration of the contract and/or cooperation relationship and for five (5) years thereafter, but at least as long as required by law.
7. Regular Data Sources
Information is mainly obtained from the registered individual. Additionally, personal data may be obtained in connection with city and municipal land divisions and from electronic sites requiring registration in the construction industry, provided the individual has given permission for their data to be disclosed for marketing purposes. Personal data may also be updated from registers of service providers offering address update or similar services.
8. Regular Data Disclosures and Data Transfer Outside the EU or the European Economic Area
Data in the register may be disclosed to current partners of the Honkarakenne Group as needed for business operations to implement cooperation deliveries and for marketing purposes, unless the customer has specifically prohibited it. Personal data may be disclosed to companies belonging to the same group or economic entity or transferred outside the EU or EEA in accordance with the Personal Data Act and regulations concerning the processing of credit information.
9. Principles of Register Protection
- Manual material: Order forms and other materials that may be processed manually are stored in a locked space accessible only to certain employees of the data controller. The property has access control.
- Data processed by computer: Access to the register is restricted to employees of the data controller and other designated individuals who need the information for their duties or register maintenance tasks. These individuals have user IDs and passwords. Workspaces where the workstations using the applications are located are locked and monitored. Data is protected technically by a firewall and other technical means.
10. Right of Access
The registered individual has the right to inspect the information concerning them in the data controller’s customer register. When the registered individual wishes to exercise their right of access, they must send a personally signed written inspection request to the data controller at the address (Honkarakenne Oyj, Hongantie 41, 43500 Karstula) or visit the aforementioned address in person with an identity document. The inspection request must include the individual’s name, organization name, address, and phone number. The description will be provided as soon as possible, but no later than within the statutory period (3 months). According to the Personal Data Act, the information can be inspected free of charge once a year.
11. Right to Request Correction of Information
If there are errors in the registered individual’s information, the registered individual can request correction of the error in accordance with Section 29 of the Personal Data Act. The request for correction must be made in writing and signed personally to the address Honkarakenne Oyj, Hongantie 41, 43500 Karstula, or by visiting the aforementioned address in person with an identity document.
12. Right to Object
The registered individual has the right under Section 30 of the Personal Data Act to prohibit the data controller from processing information concerning them for direct marketing, distance selling, and other direct marketing, as well as for market and opinion research, and from disclosing information for direct marketing, distance selling, and other direct marketing, as well as for market and opinion research, as well as for personal directories and genealogical research.
The registered individual can exercise their right to object by sending a personally signed letter to the address Honkarakenne Oyj, Hongantie 41, 43500 Karstula, or by visiting the aforementioned address in person with an identity document.
